Common Housekeeping Mistakes That Could Be Costing You (And How to Fix Them)

Housekeeping operations are the backbone of any hospitality business, ensuring guest satisfaction through cleanliness and comfort. However, small mistakes in managing linen and textiles can lead to significant operational inefficiencies, increased costs, and strained relationships with laundry providers. Here are some common mistakes your housekeeping teams might be making and actionable steps to resolve them.

Inaccurate Inventory Counts

Issue: Failing to keep an accurate count of items sent to and received from the laundry provider.

Impact: This can lead to disputes over lost or missing items, strained relationships with the provider, and shortages in linen stock. Missing inventory can also result in unanticipated costs when emergency orders are needed to meet operational demands.

Solution: Establish a reliable tracking system, such as a check-in/check-out log, to maintain accurate records. Assign a dedicated team member to oversee inventory counts and regularly reconcile records with the laundry provider to avoid discrepancies. Use digital tools, like inventory management software, to automate the tracking process and minimise human error. CanDo Laundry customers can access a free stock take sheet by contacting the office.

Failure to Monitor Delivery Schedules and Forward Plan

Issue: Not aligning delivery schedules with operational needs, resulting in shortages or surpluses of linens at key times.

Impact: This disrupts housekeeping operations, causing delays in room turnover or overstocking of unused linens, which consumes valuable storage space. It can also negatively impact guest satisfaction when rooms are not ready on time.

Solution: Collaborate with your laundry provider to optimise delivery schedules that align with peak operational needs. Build a buffer inventory to avoid disruptions during unexpected surges in demand or delivery delays. Schedule regular meetings with your provider to reassess delivery timing based on occupancy forecasts and seasonal variations.

Ignoring Provider Performance Metrics

Issue: Neglecting to monitor key performance indicators (KPIs), such as turnaround time, linen loss rate, or quality of cleaning.

Impact: Poor provider performance can go unnoticed, leading to long-term operational inefficiencies and increased costs. A lack of monitoring may also result in missed opportunities to address issues before they escalate.

Solution: CanDo Laundry Services conducts quarterly performance reviews focusing on agreed-upon KPIs. In preparation for this meeting, use a performance dashboard to track KPIs in real-time and create action plans to address any deviations from expected standards.

Using Textiles for Improper Purposes

Issue: Housekeeping teams often repurpose textiles (e.g., towels, sheets) for unintended purposes, such as cleaning spills or wedging doors.

Impact: This practice reduces the lifespan of the textiles, increases replacement costs, and can result in contamination or improper hygiene. Misusing textiles can also create inconsistencies in stock levels and damage the professional image of your housekeeping operations.

Solution: Provide appropriate tools, such as cleaning cloths, rags, and door wedges, and train staff on proper textile usage. Include clear policies to discourage the improper use of linens and implement regular checks to ensure compliance. Reinforce training through visual reminders, like posters in storage areas, and include examples of improper and correct usage during onboarding. Please contact your account manager to receive free of charge posters to place in your storage room.

Mismanagement of Expectations

Issue: Assuming that the laundry process can always restore heavily stained or damaged textiles to like-new condition.

Impact: Unrealistic expectations can lead to disputes with the laundry provider and unnecessary reprocessing efforts, wasting time and resources. It may also result in guest dissatisfaction if linens remain visibly stained despite multiple cleaning attempts.

Solution: Educate housekeeping teams on stain prevention and the limitations of cleaning processes. Train staff to separate heavily-stained linens for specialised treatment by the laundry and establish guidelines for when items should be marked for replacement instead of laundering.

Not Rotating Stock

Issue: Linens are often reused directly after laundering without ensuring an even rotation of all available stock.

Impact: Uneven usage leads to premature wear and tear on frequently used textiles, shortening their lifespan, while other stock remains underutilised. This can inflate replacement costs and disrupt budget planning.

Solution: Implement a rotation system, such as colour-coding or date marking linen batches, to ensure even usage. Regularly audit stock usage to maximise the lifespan of all textiles. Use storage systems that allow easy access to older stock first and incorporate stock rotation checks into routine housekeeping protocols.

By addressing these common mistakes, your housekeeping team can enhance operational efficiency, extend the life of your linen inventory, and maintain strong relationships with your laundry provider. Remember, effective communication and training are the keys to success—invest in your team, and the results will follow.

Linen Stocktake Spreadsheet

Linen Stocktake Template

Efficiently managing linen and textiles can be complex — even for a small hotel. As your accommodation grows, it becomes less manageable to track textiles from a cupboard. If you’re looking for a tool to get control of your textiles management, we built a best-in-class spreadsheet template to ensure nothing slips through the cracks.

Linen Stocktake Spreadsheet

Why is Textile Management So Important?

A comprehensive textile management program helps you address the routine upkeep and minor expenses associated with maintaining your linen and textile inventory, preventing significant costs from wear and tear or unexpected shortages. Beyond ensuring that your textile assets remain in top condition, an effective management program also safeguards your operations by reducing the risk of disruptions due to insufficient or damaged stock.

How to keep track of your linen?

To effectively manage your textile inventory, it’s crucial to establish and maintain a regular stocktaking schedule for your linen and textiles. Once this schedule is defined, it’s important to keep an ongoing record of all stocktaking activities to better anticipate future needs and replacements. These records can be managed through physical logs, a linen stocktake spreadsheet, or by using outsourcing your linen and textile and benefit from utilising a textile management software that provides automatic orders when shelves are running low.

Log and track information

Make sure the linen stocktake spreadsheet reflects your textiles items

Make sure to draw a line in the sand and start with an opening stock balance. This opening stock figure should be reflective of what textiles volumes you have in circulation.

It’s vital for best practice to physically every shelf, every cupboard, and every draw you think textiles may be able to hide.

Take note of the areas on your premises where linen is stored. Take a full count to review what is onsite.

Whether you clean your own textiles in-house or outsource to a textile provider. Count the most recent delivery and account for the next delivery.

Top 5 Benefits of Outsourcing Laundry Services for Hotels and Restaurants

In the competitive world of hospitality, hotels and restaurants strive to provide impeccable service and pristine environments to ensure guest satisfaction. One essential aspect often overlooked is the management of laundry services. By outsourcing laundry, hospitality businesses can reap numerous benefits, allowing them to focus on their core operations. Here are the top five advantages of outsourcing laundry services tailored specifically for hotels and restaurants.

1. Significant Cost Savings

Managing an in-house laundry facility can be a considerable financial burden. The costs associated with purchasing and maintaining equipment, hiring and training staff, and managing utility bills can quickly add up. By outsourcing laundry services, hotels and restaurants can eliminate these expenses. Professional laundry services offer competitive pricing. However they also often provide bulk discounts, resulting in substantial cost savings. This financial relief allows businesses to allocate resources more efficiently. Hotels and restaurants can therefore invest in other critical areas, such as guest services and marketing.

2. Enhanced Efficiency and Productivity

Outsourcing laundry services streamlines operations, enhancing overall efficiency and productivity. Professional laundry facilities are equipped with state-of-the-art machines and technologies. These machines are designed to handle large volumes of linens and uniforms quickly and effectively. This means faster turnaround times and a consistent supply of clean linens. Hotel and restaurant staff can then focus on their primary responsibilities without the distraction of laundry-related tasks. Therefore, ensuring smoother operations and better service delivery to guests.

3. Superior Cleanliness and Hygiene

In the hospitality industry, cleanliness is crucial. By outsourcing laundry to specialized services, you ensure that linens, towels, and uniforms are cleaned to the highest standards. Professional laundry providers use advanced techniques and industrial-grade detergents. These effectively remove stains, odors, and pathogens, ensuring superior hygiene. This cleanliness enhances the guest experience and helps maintain a positive reputation, which is vital for repeat business and positive reviews.

4. Access to Advanced Technology and Expertise

By outsourcing to professional laundry services, hotels and restaurants can focus on their core business activities. They don’t have to worry about the complexities of laundry management. Professional laundry services use the latest cleaning technology and industry best practices, ensuring top-quality results. This means stains, odors, and wear and tear are handled expertly, extending the life of linens and uniforms.

Furthermore, hotels and restaurants gain access to high-quality equipment without a large capital investment. This eliminates the need for regular maintenance, repairs, or replacements. By using a full rental solution, businesses also avoid the significant upfront costs of purchasing textiles. Instead, they pay a manageable fee for the rental and cleaning service. This helps maintain steady cash flow, making financial planning easier.

In addition, professional laundry services are skilled in handling various fabrics and stains. They ensure all items are treated correctly, preserving their quality and appearance. Clean, well-maintained linens and uniforms reflect positively on the business, enhancing its image and reputation. Customers notice the attention to detail, which can lead to better reviews and repeat business.

Outsourcing laundry also means businesses can scale their service needs based on demand. During peak seasons or special events, they can increase the laundry service without the hassle of managing extra staff or equipment. Conversely, during slower periods, they can reduce the service, avoiding unnecessary costs. This flexibility is particularly beneficial for managing operational efficiency and budget control.

5. Flexibility and Scalability

The demands for laundry services in the hospitality industry can fluctuate based on seasons, events, and occupancy rates. Outsourcing provides the flexibility to scale services up or down as needed without the challenges of managing an in-house team. Whether it’s a peak season requiring increased laundry capacity or a slower period with reduced demand, professional laundry services can adjust accordingly. This scalability ensures that hotels and restaurants always have the appropriate level of service, optimising costs and efficiency. Additionally, by outsourcing, businesses avoid the challenge of finding alternative work for laundry staff during quieter periods, such as the winter season or potential closures. This eliminates the need for layoffs or reallocating staff to other duties, providing further operational ease and stability.

CanDo Laundry Services at the TSA Spring Conference 2024

This April, CanDo Laundry Services actively participated in the TSA Spring Conference, which took place on 15-16 April at the Hilton St. George’s Park in Burton Upon Trent. The TSA conference assembled 90% of the industry leaders, presenting a crucial platform for dialogue, learning, and networking. Daniel Shepherd, our Managing Director, alongside Craig Penfold, our Commercial Director, represented CanDo Laundry Services. Their attendance ensured we were at the forefront of discussions that tackled a range of contemporary issues within the laundry sector.

A Gathering of Industry Leaders

The TSA Spring conference provided a unique forum for those in the laundry services industry to reconnect and exchange ideas after a challenging period. With topics spanning from diversity and inclusion to the latest in hygiene and sustainability, the event catered to a broad spectrum of interests. It was an educational and enriching experience, highlighted by in-depth discussions and the exchange of best practices among the industry’s top minds. The overwhelming turnout of industry participants underscored the conference’s relevance, establishing it as an essential event for networking and growth in our field.

Sustainability: The Industry’s Commitment to the Environment

Sustainability was a dominant theme at this year’s conference. The TSA’s focus was on educating attendees about the lifecycle of textiles, emphasizing the importance of making them last longer to minimize environmental impact. This involves a comprehensive understanding of what goes into manufacturing textiles—including the considerable energy required—and how each phase of a textile’s life contributes to sustainability. The discussion also highlighted the detrimental impact of missing or damaged linen on sustainability efforts, reinforcing the need for better management practices in our operations.

Pasha the Pillowcase: A Mascot for Sustainability

A key feature of the sustainability discussions was the discussion of TSA’s mascot for sustainability- “Pasha the Pillowcase,” a campaign aimed at addressing the 62% of hospitality textiles that go missing, are stolen, or simply forgotten. This initiative seeks to educate the market on the critical importance of stock rotation and utilisation as integral to sustainability. It serves as a reminder of our responsibility towards more sustainable practices, emphasising how proper textile management can significantly reduce environmental footprints.

Utilities and Industry Innovations: Shaping the Future

The move toward integrating sustainable energy sources such as heat pumps and solar energy was a significant point of discussion highlighted by the TSA. The industry is also looking towards future technologies like mechanical vapour recompression, which is still in development but expected to make a considerable impact in the coming years. These innovations are part of a broader industry goal to reduce carbon footprints and enhance energy efficiency across all operations.

Research Insights: Implications for Healthcare and Hygiene

The TSA presented compelling new research showing that domestic washing machines often harbor bacteria, which can pose serious health risks, particularly in healthcare settings. This finding is critical for the NHS, which currently encourages healthcare workers to launder uniforms at home. The research challenges the effectiveness of home laundering in killing bacteria, suggesting a potential risk of contamination and the spread of infections. This underscores the essential role of professional laundry services in ensuring higher standards of hygiene and safety.

TSA and Government Engagement: Elevating Industry Priorities

A significant objective of the conference was to strengthen the laundry industry’s interaction with government bodies. The TSA aims to raise awareness among policymakers about the pivotal role of laundry services in critical sectors, highlighting its necessity akin to utilities like gas, water, and electricity. By engaging more actively with MPs and raising pertinent questions in parliament, the industry can secure a more prominent place in policy discussions, ensuring that its needs and challenges are adequately addressed.

Guest Speaker Insights: John Sergeant’s Contributions

John Sergeant, as the headline speaker, brought a refreshing perspective to the conference. His discussions about his career in broadcast journalism added a personal touch, reminding attendees of the importance of storytelling and public engagement. His presence underscored the conference’s diverse agenda, which not only focused on technical and business aspects but also on the broader social and cultural implications of our work.

The TSA Spring Conference 2024 was a landmark event for CanDo Laundry Services, filled with invaluable insights and opportunities for strategic development. The knowledge and connections gained during the conference will undoubtedly influence our approach and initiatives, helping us to better navigate the dynamic landscape of the laundry industry.

As we continue to reflect on the enriching experiences and the wealth of knowledge shared at the TSA Spring Conference 2024, we invite those interested in learning more about CanDo Laundry Services’ commitment to sustainability to explore further. The process begins with the collection of soiled workwear from your premises. CanDo Laundry Services typically provide designated collection bins, bags or lockers, making it convenient for employees to deposit their used uniforms. Regular schedules can be established based on your company’s needs, ensuring a steady flow of clean uniforms.

Sorting:

Once collected, the workwear undergoes a meticulous sorting process. This involves separating different types of fabrics, colours, and levels of soiling. Sorting is a crucial step to prevent colour bleeding and ensure that each garment receives the appropriate treatment during the washing process.

 Washing:

The washing process utilises industrial-grade machines and detergents, specifically formulated for workwear fabrics. Temperature and wash cycle settings are tailored to the fabric types, ensuring optimal cleaning without compromising the integrity of the garments.

Drying:

After washing, the workwear is carefully dried using commercial-grade dryers. Proper drying is crucial to prevent shrinkage, maintain fabric integrity, and eliminate any lingering bacteria or allergens.

Quality Checks:

CanDo Laundry Services conduct thorough quality checks to ensure that each garment meets the highest standards. This includes inspecting for stains, damages, or any issues that may have occurred during the laundering process.

Packaging and Delivery:

Once the quality checks are completed, the clean and neatly pressed workwear is packaged and prepared for delivery back to your premises.
